Frequently Asked Questions

Should I build, buy, or lease my Intranet software?

Among the most critical decisions at the beginning of an Intranet project is whether to buy a commercially available system or build a new system or lease a system with a hosted environment. Each option has some positive and negative consequences that must be fully examined if the decision is to bring optimum results to the organization. These relate to cost, time to implement, and resources to create and support the system, priorities for the organization's technical staff, system functionality, documentation, and a variety of other issues. Statistics show that the risk of failure in large-scale development projects is high, as is the likelihood of cost overruns and time delays. There are many factors that can contribute to such failures and only careful planning and excellent management can minimize the risk. IntraSmart is available as either an installed or hosted solution and our staff is ready to help you evaluate which would be best for your organization.

How can I customize my Intranet to meet our particular needs?

How can I be sure our documents and communications are secure?

There are many levels of security that can be established to protect sensitive information. Documents can be restricted to certain users relative to reading, editing and posting. If a user does not have permissions for a given document, library or item they will have no access to it whatsoever. Full-text searches will not return results for items protected by the security structure. Administrators can quickly and easily change those security structures to meet the needs of the organization. Communications for the hosted solution can be encrypted to ensure their security as they pass to and from the host machine.

What is the history of IntraSmart?

Mindbridge Software started as a consulting company in 1997. The partners found themselves working on the same type of problem over and over again involving collaboration and teamwork. They built IntraSmart to meet those needs and have been improving it by adding modules ever since. In 2004 the hosted solution Intranet on Demand was added for those companies that needed a utility computing product.

How can I use the full-text search capabilities of IntraSmart?

Target areas can be indexed and searched for phrases. Those target areas could be sections of the document library, the entire Intranet or even outside web addresses. There is a full set of tools to support complicated searches. This tool can save a great deal of time looking for relative information in any accessible location.

How can project teams use the capabilities of IntraSmart to increase their productivity?

There are many handy tools that can help project teams work together more effectively including: document nominator process, team bulletin boards and threaded discussions, time and asset scheduling processes, and links to frequently accessed sites and processes.

What is an Extranet?

The audience for an Intranet is the users within the organization. On the other hand, an Extranet is designed to share information with those outside the organization. It might exist for the benefit of customers, suppliers, prospects or other groups of external contacts.

How can I interface with Outlook, Palm or LDAP?

There is an optional interface for IntraSmart to synchronize with Outlook, Palm and LDAP. This can save a great deal of time and eliminate wasteful duplication of effort.

What is involved in creating custom forms to use in the system?

A built in forms generator allows users to create their own forms quickly and easily. These forms can then be used to gather information, conduct surveys, or enhance collaboration.
